INTRODUCTION TO SYSTEMATIC PLUMBING

Systematic Plumbing offer a comprehensive package of plumbing services for domestic and commercial clients. They guarantee outstanding customer service, exceptional workmanship and genuine value for money. This commitment is based on the core principle that honesty and integrity is essential to success.

Shane Samwell, Managing Director for Systematic Plumbing, gave his views on how Payapps has changed his claims management processes.

LIFE BEFORE PAYAPPS

Prior to using Payapps, progress claims were prepared as invoices in their Xero accounting system. This involved manually entering details for the various line items that had been worked on during the claim period. Retention was then tracked on paper for follow up in 12 months.

GETTING STARTED

Shane was first introduced to Payapps through a number of projects with Schiavello Systems. He says his initial reservations about adopting a new system were quickly put to rest.

“I’ve used it on a few jobs now and it definitely helps the process. You can see everything laid out and it’s clearer. It’s a lot easier for managing variations, as everyone is on the same page with what has been claimed and what the approval status is. If part of a claim is rejected it is clear as to which item it relates to and for how much. It is also a lot more efficient for tracking retentions than keeping notes on paper in a file”, Shane told us.

“IT IS A LOT EASIER FOR VARIATIONS – EVERYONE IS ON THE SAME PAGE WITH WHAT HAS BEEN CLAIMED AND WHAT THE APPROVAL STATUS IS.”
Shane Samwell – Managing Director – Systematic Plumbing

GREATER EFFICIENCY

In addition to better visibility of claim amounts, there have also been time savings. The breakdown of works is set out from the beginning and preparing claims is as simple as entering percentages or dollar values. The previously certified values are automatically brought forward when preparing a new claim, so there is confidence that the starting position for the claim is accurate. The integration between Payapps and Xero is also a real-time saver.

“I love that it goes through to Xero automatically. It was really simple to set up and now invoices are automatically created upon claim approval, with all the information that used to have to be manually typed in.”

“There is a lot less hassle and it makes it easier to keep track of everything. You know your invoice matches what you are expecting to get paid by the builder.”

STREAMLINED PROCESS

“It saves a ton of time and streamlines the process. The more aspects you can streamline and simplify, the better. We are spending less man-hours on paperwork and all the triple-checking and reconciling. Having it automatically create invoices in Xero is great.”

THE FINAL WORD

We asked Shane if he would recommend Payapps to other subcontractors.

“I would. If a builder invited them to use Payapps I’d encourage them to have a go. They will definitely see benefits.”

ABOUT PAYAPPS + XERO

Payapps creates invoices automatically on claim submission or approval, with the PDF document attached to the Xero invoice. Each line item claimed against is listed on the Xero invoice, as well as retention and tax, with claim values and retention tracked in the relevant account codes. This keeps your contractual claims correspondence consistent with your accounting records, reducing data entry, eliminating mistakes and giving you the confidence that your cashflow will match your bookkeeping.

The winners of international design awards ‘2022 Australian Good Design Awards’ were announced on Friday 16th September. The Good Design Awards are the highest honour for design and innovation in the country and reward projects across 11 design disciplines covering more than 30 categories and sub-categories.

Payapps received a prestigious Good Design Award Winner Accolade in the Digital Design category, in recognition of outstanding design and innovation.

Award Good Design Award

With a proud history dating back to 1958, the annual Awards celebrate the best new products and services on the international market, excellence in architectural design, engineering, fashion, digital and communication design, and reward new and emerging areas of design including design strategy, social impact design, design research and up-and-coming design talent in the next-gen category.

The 2022 Good Design Awards attracted high-quality design projects from around the world. These innovative projects were evaluated by more than 70 international Jurors, including designers, engineers, architects and thought leaders. Each entry was evaluated according to a strictest of design evaluation criteria which includes Good Design, Design Innovation and Design Impact.

Projects recognised with an Australian Good Design Award demonstrate excellence in professional design and highlight the impact a design-led approach has on business success and social and environmental outcomes.

The Good Design Awards Jury commented: “A much needed edition to the construction industry that makes everybody’s lives hassle free. A streamlined approach to the submission and approval of payment between builders and subcontractors. An intuitive solution to a commonly loathed issue. Well done to everybody involved with the design and execution of this project.”

“It’s an honour for Payapps to be recognised against a number of high-calibre entrants for this year’s awards”, says Tony Simonsen, COO of Payapps.

“The Digital Design Jury were looking for solutions where a holistic design approach had been considered as well as projects that improve the quality of life for people and contribute to better economic, social, and environmental outcomes. I’m hugely proud that Payapps has been recognised for doing just that! We’re helping an increasing number of companies improve their back-office efficiencies and productivity, making it easier for them to better manage time-consuming and costly application for payment processes across the construction sector where the timing of payments have arguably never been more important.”

Dr. Brandon Gien, CEO of Good Design Australia and Chair of the Australian Good Design Awards said: “To be recognised with an Australian Good Design Award is a significant achievement, given the incredibly high standard of projects submitted in this year’s Awards. The Good Design Award is a valuable independent endorsement of professional design quality. It tells the world this project not only represents design excellence, but it also surpasses the criteria for design innovation and design impact.”

“We know that good design, when used effectively, can improve our quality of life and make the world around us better, safer, more efficient and more beautiful. It is clear from this year’s winning projects that investment in professional design delivers real impact – be it at a commercial, environmental or societal level. As our world transitions to a less-carbon intensive future, a design-led approach to solving problems and delivering meaningful impact is going to become more critical,” Dr. Gien went on to say.

“The Good Design Awards recognise and celebrate the transformative power of design thinking to find innovative, customer-centric solutions to local and global challenges and this year’s Award-winning projects reflect just that. My sincere congratulations to all the designers, engineers, architects and innovators recognised in this year’s Awards – you deserve to be celebrated at the highest level,” Dr. Gien concluded.
